Pulling it all together starts with a direct request, made the right way. 1. Call or email each clinic and ask for your pet's complete record, including vaccine certificates, lab and imaging reports, prescriptions, and surgery notes. 2. Provide identifying details upfront: your pet's name, date of birth, microchip ID, and your contact information, so staff can locate the file quickly. 3. Request the records in electronic format, ideally as PDF exports from their [practice management system](https://medfiles.ai/en/articles/digital-record-storage-benefits-for-medical-records-in-2026), which is easier to store and share than paper. 4. Ask about processing time and any copying fees before you hang up, since turnaround varies by clinic size and staffing. 5. Follow up with a confirmation email summarizing what you requested, and escalate to the office manager if records don't arrive within the timeframe given. Keep a simple log of who you contacted and when. It saves you from repeating the process if a request gets lost. ## Using clinic patient portals and pet apps to access records Many clinics now run patient portals tied to their practice management software, and these are often your quickest source of recent records. - Portals typically show visit summaries, vaccine history, prescriptions, and invoices tied to your pet's chart. - Sign up using the email or phone number on file with your clinic, then link your pet's profile during verification. - Portals hold the clinic's official copy, but that access can disappear if you switch vets or the practice changes software, so treat it as a window, not your archive. - Download and save exported PDFs regularly instead of relying on the portal as permanent storage. **Pro Tip:** *Check portal exports for missing pages or broken attachments before you file them away, since compressed PDFs sometimes drop images.* ## How to build a secure personal digital pet health record Once you have records in hand, organizing them well makes the difference between a useful archive and a pile of random files. 1. Save vaccine certificates and official documents as PDFs, and photos of visible conditions or injuries as JPEG or PNG files. 2. Create a simple folder structure by pet name and year, with filenames like "Bella_Rabies_2026.pdf" for fast retrieval. 3. Back up everything in an encrypted cloud service, and keep a second local copy so you're never locked out of your own records. 4. Set a recurring reminder, every six months, to export new records from your clinic portal into your archive. 5. When sharing with a new vet or pet sitter, use a time-limited secure link rather than emailing attachments, and confirm the recipient's identity before sending anything sensitive. A well-organized archive means you can hand over your pet's full history in minutes, not days. ## Privacy, ownership, and what veterinary practices must keep Veterinary practices must maintain adequate written or electronic treatment records for every animal they treat, including the veterinarian's name, patient identification, drug details, dates, and dosing instructions, according to [veterinary medical record guidance](https://veterinaryauthority.com/veterinary-records-and-medical-documentation/). These are the clinic's official files, separate from any personal copy you keep. - Retention periods vary by state, and veterinarians commonly must keep records for several years depending on local law, as [AVMA has summarized](https://www.avma.org/javma-news/2008-02-01/report-summarizes-laws-how-long-keep-patient-records). - Because retention rules differ and clinics can close or change systems, keeping your own copy indefinitely protects you from gaps. - Clinics generally release records only with your consent, in line with AVMA's principles of veterinary medical ethics, though exceptions exist for subpoenas or public health reporting. - Digitizing records improves care coordination, but it also means practice software vendors may have broad data-use rights under their own terms, so [reviewing privacy policies](https://avmajournals.avma.org/view/journals/javma/255/3/javma.255.3.282.xml) before sharing data matters. **One retention fact worth noting:** veterinary record retention rules typically range from two to seven years depending on the state, according to AVMA's review of state laws. That gap is exactly why a personal archive matters: your copy doesn't expire when a clinic's retention window closes. Keep a dated note of every record request you make, including who approved the release. It's a small habit that avoids disputes later. ![Illustrated log of dated veterinary record requests](https://media.babylovegrowth.ai/blog-images/organization-26020/1791522767844_Illustrated-log-of-dated-veterinary-record-requests.jpeg) ## What to prepare when your pet needs travel documentation Travel paperwork has stricter rules than everyday record-keeping, and digital copies alone often aren't enough. - Common travel documents include vaccine certificates, a Certificate of Veterinary Inspection, and a USDA-endorsed health certificate, and some destinations require original signed copies, not scans. - International travel typically runs through [VEHCS](https://www.aphis.usda.gov/vehcs), the USDA's electronic system that lets accredited veterinarians create, submit, and get health certificates endorsed. - USDA APHIS recommends contacting a USDA-accredited veterinarian weeks in advance, since testing and vaccine timing windows vary by destination country. - Owners usually still need to carry a printed, endorsed hardcopy certificate when traveling internationally, even though VEHCS handles the paperwork electronically. Keep a dedicated travel folder inside your digital archive with print-ready PDFs, so you're never searching for paperwork the night before a flight. If you're flying with a support animal, reviewing current airline documentation rules ahead of time can save you a scramble at check-in. ## Why a HIPAA-ready platform beats ad hoc storage for pet records Scattered PDFs in your email or phone photos work until you need something fast, during a vet switch, an emergency, or a trip. A HIPAA-ready, end-to-end encrypted platform keeps your pet's history in one place you control, not spread across inboxes and folders. - Multi-profile management lets you store records for every pet, and every family member, under one secure account. - Automatic organization and AI-assisted classification sort uploads by type, so vaccine records don't get buried under invoices. - Secure share links let you send records to a new vet or pet sitter without emailing sensitive files as attachments. - Your personal archive complements the clinic's official record. It doesn't replace it, since a veterinarian-client-patient relationship generally can't be established through a digital platform alone. **Pro Tip:** *Start small: upload one recent vet-export PDF to a new pet profile and test a secure share link before you migrate your whole history.* ## Our take: start with the record you can get today We think most pet owners overcomplicate this. You don't need a perfect system on day one, just one real document saved somewhere secure. Call your current vet or pull a portal export this week. No. Veterinary practices must keep records for a period set by state law, typically a range of several years rather than indefinitely, according to AVMA's summary of state retention laws. That's why keeping your own copy matters if you want long-term access to your pet's history. ### Does Walmart have a vet clinic? Some Walmart locations have hosted in-store veterinary clinics operated by third-party partners, but availability varies widely by store and region. Check with your local Walmart directly, since clinic presence changes over time and isn't consistent nationwide. ### How do I find out if my dog has been vaccinated? Contact your dog's current or past veterinary clinic and request a copy of the vaccine record, which should list the vaccine type, date given, and expiration. If you've switched vets, [requesting records from the previous clinic](https://eascoranimalhospital.com/in-house-pet-diagnostic-services/steps-to-obtain-past-pet-health-records/) using your pet's name and microchip ID usually resolves gaps quickly. ### What types of records are kept in a veterinary practice? Veterinary practices maintain treatment records covering vaccinations, prescribed medications, lab and imaging results, and surgery notes, along with identifying details like the veterinarian's name and dosing instructions. These records document each visit and form the clinic's official medical history for your pet. ### What qualifies as an official veterinary record versus my personal copy? A personal archive, like one built in [Medfiles](https://medfiles.ai/en/medical-document-storage), is your organized copy for quick access and sharing, not a replacement for the clinic's file. ## Sources - [Veterinary records and medical documentation](https://veterinaryauthority.com/veterinary-records-and-medical-documentation/) - [Maintaining medical record confidentiality and client privacy — JAVMA](https://avmajournals.avma.org/view/journals/javma/255/3/javma.255.3.282.xml) ## Recommended - [Medical Document Storage & Organization](https://medfiles.ai/en/medical-document-storage) - [Keep Full DICOM Detail When Storing Medical Images Online for Patients](https://medfiles.ai/en/articles/store-medical-images-online)43:T45ab,

Store Vet Records Online: Keep Clinic PDFs in Your Own Archive

Dog owner organizing veterinary records on tablet

The fastest, most reliable way to store your pet’s vet records online is to request electronic copies from your clinic and save them in a secure, owner-controlled archive. Ask your vet’s office for PDF exports of vaccine certificates, lab results, and visit notes, then upload them to a HIPAA-ready platform like Medfiles that supports pet profiles and secure sharing. This gives you one trusted copy you control, no matter which clinic holds the original.

TL;DR:

Request complete records from every clinic, including vaccine certificates, lab and imaging reports, prescriptions, and surgery notes; provide your pet’s name, birth date, and microchip ID.

Clinic portals offer recent visit summaries and vaccine histories, but access may vanish after a vet change, so download PDFs and back them up locally.

State laws generally require clinics to retain records for two to seven years; your own copy preserves access after that window closes.

For international travel, contact a veterinarian approved by the USDA well ahead; some destinations require signed originals, and travelers usually need a printed, endorsed certificate.
